The Administrative Assistant will have responsibilities that include, but are not limited to, providing clerical support for assigned area, organizing meetings and special events, and oversight of purchasing activities.

Responsibilities:
Assists Administration in the day-to-day operations of Neighborhood Health Center (NHC) to include but not limited to:
Greets and makes all visitors feel welcome Handles administrative phone calls and correspondence Provides administrative meeting and event preparation support Prepares, monitors and communicates use of the site conference rooms and coordinates appropriate room set up, and posts conference schedules daily Maintains supply of guest refreshments such as coffee, cups and water Ensures cleanliness of Admin Suite Kitchenette, Conference Rooms and Breakroom areas Provides support for All Staff Meetings:
distributes presentation after the meeting Serves as a member of Ad Hoc Committees as needed Sorts and distributes all mail and packages the day they arrive Acts as the on-site resource to coordinate the necessary facilities management as directed by the President & CEO, Vice President of Finance, Vice President of Clinical Operations, Vice President of Operations or Practice Manager Main Office Support:
Supports HR, new employee onboarding documents, and other clerical duties as needed Coordinate Longevity Awards for Staff Orders floral arrangements for birth and death announcements Supports HR with apparel orders and distribution Supports the Communications Coordinator in ordering rack, appointment and business cards, reproducing marketing material for outreach events, and mailings to elected officials Acts as a liaison for the Community Center to submit Building Maintenance Requests to building staff in Room 200 upon receipt of a problem at Northwest Purchasing Support:
Annually review and identify potential vendors and obtain quotes to procure office supplies at a fair price Develop and maintain Build To office supply ordering system Collect, fulfill, and coordinate ordering, delivery, and inventory of such supplies as office, janitorial paper, other office products, food for meetings, using electronic ordering system.
Ensures delivery schedules for vendors and communicates closings for all sites Works with each site's Scheduling Coordinator/Practice Manager to coordinate package deliveries from vendors (USPS, UPS, FedEx, Foxy, Avalon, Amazon, etc.
).
Prepare monthly reports listing all purchase, returns and related costs.
Compensation:
$17-$22/hour Individual compensation is based on various factors unique to each candidate, including skill set, experience, qualifications, and other position related components.
Requirements:
High School graduate (or equivalent) A minimum of 3 years Administrative Assistant experience; experience in a health-related organization a plus Exceptional attention to detail and follow-through Superb organizational skills Strong influencing skills Self-starter with the ability to work proactively and take initiative Results-oriented; creative and persistent in accomplishing tasks Solutions-driven with a systems orientation Highly responsive, timely, accurate and thorough in follow-up and follow-through Highly flexible, positive and results-oriented attitude Excellent in managing shifting priorities and timelines Outstanding project and time-management skills Excellent in Microsoft Office Suite, comfortable using document management software Excellent oral and written communication skills; adept at minute-taking Strong ability to diplomatically and effectively manage interactions with individuals at all levels and job functions, both inside and outside the organization Excellent judgment and discretion WHY NHC? The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
