Human Resources Leave Administrator

Evergreen Health The HR Leave Administrator is responsible for overseeing and administering all aspects of leave management, including but not limited to FMLA, Paid Family Leave, disability, COVID-19 leave, Workers Compensation, and ADA.
In addition, this position also oversees other various HR tasks.
As part of the essential functions of the role, the Human Resources Leave Administrator:

Communicates with employees regarding their needs for leave and/or modified work schedules.
Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.

Handles the leave administration process from the employees initial notice of the need for leave to the return to work.
This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.

Maintains reasonable communication with employees on leave to facilitate smooth and timely return to work; relays communication between employees and their managers during leave within reason.

Oversees the return-to-work process for employees returning from extended job protected leave, workers compensation, or other leave(s).

Facilitates accommodation requests under the ADA.

Provides support to employee relations as situations arise that relate to protected leaves and accommodations
Responsible for the administration of workers compensation including claims monitoring and communication with employees, managers, and insurance carriers.

Performs internal contract training protocols for COVID-19, reviews, and administers leave surrounding COVID-19.

Communicates with the disability carrier to ensure employees disability and NYS paid family leave are being processed accordingly.

Develops payment plans for individuals on leave who need to pay back premiums for benefits
Advises managers and employees on the interaction of leave laws with paid time off.
Completes timecards for employees on a consecutive leave in accordance to payroll schedule.
Inputs leave time from payroll system to leave management system.

Manages leave tracking system and maintains complete and accurate records in accordance with specified legal requirements and documentation of best practices.
Conductus regular audits to ensure compliance and to make sure the system is up to date.

Preserves confidentiality of employee medical documentation and files.

Drafts and/or recommends revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.

Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws.

Develops reports when requested on leaves and reports on leave trends
Cross train in other areas of HR and serve as a back-up when needed including but not limited to payroll processing and benefits administration.

As needed, conduct trainings and/or send out communications to managers and/or all staff on internal trends or topics that need to be addressed.

Maintains knowledge of trends, best practices and regulatory changes In Human Resources and employment law by attending webinars and self-educating.

Qualified Candidate will have a Bachelor's Degree in business or related field, and minimum of two (2) years of experience working in Human Resources and in the area of Leave Management -OR- an Associate's Degree and a minimum of five (5) years of experience working in Human Resources in the area of Leave Management.
Must be able to communicate clearly and professionally in writing and verbally.
The qualified candidate will have extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA and other applicable laws.
The ideal candidate will have experience using ADP and/or leave management tracking software.
Ability to build and maintain positive working relationships with varying levels of staff and managers is essential.
Attention to detail and computer efficiency required.
Excellent typing and editing/proofreading skills highly desired.
Sensitivity toward cultural diversity, people living with HIV/AIDS and lifestyle and addiction issues essential.
