Summary:
The Coordinator, Program Logistics is a proactive strategic member of the Western New York team and the Metro and Western New York Chapter, helping to advance the Make -A -Wish mission in the greater WNY region (made up of 17 counties including Buffalo and Rochester).
This dual role, with oversight and guidance from the Director, Programs Services, is responsible for both wish and eligibility logistics playing an essential coordination role in all aspects of each crucial area.
Principle Accountabilities:
The Coordinator, Program Logistics will focus on the following core wish granting-related activities:
Wish Logistics o Coordinate all specific aspects involved with the logistics of the wish, including but not limited to transportation, accommodations, supportive services, requests for information, medical equipment, liability forms, and itineraries.
o Follow standardized process to deliver policy-based timelines as they relate to travel.
o Work in tandem with destination partners to ensure timely and accurate facilitation of travel wishes.
o Research all options for delivering services and products in the most cost effective, qualitative, and creative manner.
o Utilize available resources provided by the National office and through local development efforts for discounts and in-kind support.
o Develop relationships with vendors who may provide ongoing donated products or services.
o Update and keep current the core database and equivalent paper files on each child to ensure compliance with National Standards and Chapter guidelines.
o Liaise with vendors (i.
e.
, Give Kids the World for Disney World, Disney Land, National travel partners and constituents) involved in the wish granting process.
o Keep abreast of National policies, guidelines and resources as they relate to the wish-granting process.
Eligibility Logistics o Coordinate medical eligibility and wish clearance in a timely manner, in line with recommendations from Make-A-Wish America.
o Communicate with and support hospitals, clinics, and other medical/partners throughout WNY and 17 counties.
o Maintain core database notes for referrals including communication, activities, and demographics, for all medical partners and wish children/families.
o Follow-up on forms and/or missing essential information to ensure completion and compliance.
o Update team members on wish child's medical eligibility status.
o Assist in the development of training curriculum to train referral sources on new tools and processes including intake and medical eligibility.
o Attend community and other external events and support stakeholder relationships as needed.
Other- Make-A-Wish Event Support and Additional responsibilities Play an important role planning for and in support of WNY chapter events and initiatives including the Buffalo and Rochester Galas and fundraising tele/radiothons.
Essential Skills and Abilities:
o Detail-oriented, well organized, and able to work within deadlines.
o Ability to manage multiple projects simultaneously and achieve objectives.
o Assist in additional mission delivery processes.
o Microsoft Office and database (including Salesforce, Raisers Edge or similar) experience required.
o Strong interpersonal and verbal/written communication skills; building and sustaining productive long-term relationships.
o Team-oriented with ability to work successfully in a collaborative organization.
o Ability to motivate and support a diverse constituency.
o Commitment to and a passion for the mission of the Make-A-Wish.
o Participate as a productive member of the team at department/staff meetings.
o Available, on a rotating basis, 24 hours per day/7 days per week to handle wish child/family emergencies.
o Able to represent the organization at events and or trainings when requested.
o Work on special projects as needed.
o Some travel may arise on an as needed basis.
Qualifications:
o BA/BS or equivalent combination of education and work experience.
o Minimum 2-4 years of work experience in Case Management, Health Care, Travel Services or Project Management preferred.
o Experience working with databases (Salesforce, Raisers Edge, or similar data management platform).
o Ability to communicate in multiple languages a plus.
